Add, organize, and find a document
This guide uses one non-sensitive sample to establish the everyday workflow. The goal is not to create a perfect taxonomy. It is to prove that someone can add a document now and another household member can find the right original later.
Before you begin
- Jiandu is running and the installation has been claimed.
- You can sign in with a named human account.
- You have a representative PDF or image that contains no sensitive information.
1. Add the sample
Upload the file from the browser. Keep the source copy until the workflow and backup have both been verified.
The browser uses a resumable transfer. It can continue after a transport interruption or Jiandu restart while the page remains open and still holds the selected file. Reloading or closing the page releases that browser file handle; Jiandu does not store an original in browser storage and cannot silently resume that local selection afterward.
When the upload status becomes accepted and supplies document and task IDs, Jiandu has durably
accepted the original and queued work; processing and search indexing can still be incomplete. Wait
for the document to become available, then open the original. A successful upload notification
alone is not enough: confirm that the bytes you can open are the file you intended to add.
2. Apply useful filing information
Open File your documents. For each new record, the filing panel asks What is it?, Who is it from?, Kind, Date on the document, and Tags. Correct the title first, then add only metadata that helps a real retrieval question, such as:
- the organization or person that sent it;
- the effective or issued date;
- a stable document kind such as
insurance,tax, orwarranty; and - a small number of tags your household will reuse.
Do not encode every detail into the title or create a new tag for every document. Consistent, ordinary words produce a more dependable archive than a complicated taxonomy no one remembers.
Choose Save and next to keep the change and advance through the queue. Skip leaves that record for later. A typed tag is included when you save even if you did not press Enter first.
3. Test retrieval without the filename
Return to the library and search using a term a second person would know: the sender, document kind, year, or a corrected title word. Use the Tags, From, Kind, and Year filters to narrow a broad result. Open the result and verify the original again.
If search depends on scanned text, remember that Jiandu does not currently advertise an end-to-end OCR guarantee. Corrected metadata is the dependable fallback for image-only documents.
4. Download the preserved original
Download the sample's preserved original and open it outside Jiandu. The browser download does not include a metadata sidecar or recreate the complete installation. Use the operator-only portable export when you need originals plus versioned filing context.
5. Repeat with a different shape
Use one born-digital PDF and one image or scanned PDF. Different sources expose different assumptions about text extraction, previews, page limits, and naming.
Verification checklist
- The original opens and matches the source.
- The title and useful filing fields are correct.
- Search finds the record without using its source filename.
- The downloaded original opens outside Jiandu.
- A backup contains both the record and blob.
