Save a search with quick filters

Save a view you return to often, such as this year's utility bills or documents that still need filing. A quick filter remembers the search criteria; its results change as you add and organize documents.

Before you begin

Sign in with your own household account and file a few sample documents. Quick filters belong to your account. Other members can save their own views of the shared library.

1. Build the view you want to keep

In the Library, enter a search or choose filters. For example, select the utilities tag and a Year that contains a sample bill. Check that the results include the documents you expect.

Jiandu saves all the active criteria together:

Part of the viewWhat the quick filter remembers
SearchThe query, including phrases and exclusions
Filing filtersTags, From, Kind, and Year
ReviewWhether the view selects documents that need details
ShelfThe active library, Archived, or Bin
OrderThe selected sort; a text query uses Best match

Use the search guide to check query semantics. Unquoted words use OR, so energy bill is broader than the phrase "energy bill".

2. Save the view

  1. Choose Save as quick filter.
  2. Review the criteria shown in the dialog.
  3. Enter a short, recognizable name, such as Utility bills this year.
  4. Choose Save.

The name appears under Quick filters in the sidebar. A name is a label, not another search condition: a filter named “this year” still uses the specific Year you saved. Update it when the year changes.

Each member can save up to 24 quick filters, with names up to 80 characters. If the name matches an existing filter, choose a different name or explicitly confirm Replace “name”.

Change the Library view, then select your saved name. Jiandu replaces the current search, filters, shelf, and order with the saved view. It does not combine that view with filters you selected later.

The first eight quick filters appear in the sidebar; Show N more reveals the rest. A saved view continues to apply your current document permissions. Losing access to a record removes it from the results even if it matched when you saved the filter.

To let another member try the same criteria, copy the resulting Library URL. They must sign in with their own account, and they see only documents they can access. Copying the URL does not add the quick filter to their sidebar or grant access to its results.

4. Keep saved views useful

Open the quick filter's Manage “name” menu:

ActionResult
RenameChange the label while keeping the criteria
Replace with current viewStore the Library's current criteria under the saved name
Move up or Move downChange the order in your sidebar
DeleteRemove the saved filter; the confirmation offers a temporary Undo

Review the current view before replacing a saved filter. Deleting a quick filter leaves every document in place.

If something does not work

What you seeWhat to do
Save as quick filter is absentAdd a query or filter. An unfiltered view with only a different sort cannot be saved. A query must also fit the saved-view limit of 256 UTF-8 bytes; shorten a long query rather than expecting it to be truncated.

Quick filters changed elsewhere. Review and try again.Review the refreshed list; another tab or device changed it. Retry your intended change against that current state.
Jiandu could not save that change. Check the connection and try again.Restore the connection, inspect the current list, and retry the change if it is still needed.

Verify the result

Save a view, select a different shelf, and reopen the saved name. Confirm that the original criteria return, then reload the page and select the filter again. File another sample that matches those criteria and confirm it appears in the results: the saved filter is a live search, not a frozen list.
