Use Smart filing
Smart filing watches repeated authoritative choices on shared documents and can propose a reusable household rule. Nothing becomes a rule until a person reviews the proposal and chooses Use this rule.
Build useful evidence
File representative documents normally. Correct What is it?, Who is it from?, Kind, Date on the document, and Tags based on the document in front of you. Manual corrections are authoritative and continue to outrank learned behavior.
Restricted documents do not supply evidence for household-global rules. This avoids revealing or generalizing from exceptional private records.
Review a suggestion
Open Settings → Learning. Each suggestion explains the proposed rule, why it appeared, and what it could do for future familiar documents. Existing documents do not change merely because a suggestion is accepted.
- Choose Use this rule only when the pattern is understandable and broadly appropriate.
- Choose Not for me when the pattern is too broad, coincidental, or private to one situation.
- Open previewed documents when available and make sure the evidence represents the intended household habit.
Rejection is feedback; it is not a destructive document change.
Control active rules
Accepted rules remain listed in Learning. You can turn a rule off without deleting its history, inspect its audit trail, and undo it so it returns for review. Pausing Smart filing preserves accepted rules and preferences while stopping new assistance.
Advanced controls let an operator change sensitivity, disable learning for individual fields, restore a dismissed suggestion, export learning data, or reset learning.
Understand reset and undo
Undoing a rule disables that automation; it does not reverse filing information already saved on documents. Reset learning removes suggestions, learned rules, and learning preferences, while existing documents and their current filing details stay unchanged.
If an automated result is wrong, correct the document manually first, then inspect or disable the rule that produced it. Do not change a correct document merely to manipulate learning evidence.
Verification
Before leaving Smart filing enabled for the household, verify that a reviewer can explain one proposal, accept it, find the resulting rule, pause it, inspect the audit context, and undo it without changing existing document details.
